Job Description
Gogo is looking for a proactive and organized **Administrative Operations Analyst** with a strong desire to learn, acting as a multifunctional link within our structure.
This position is ideal for someone seeking a systemic business view, transitioning between administrative, operational, and logistical support demands, contributing directly to the workflow of all areas of the company.

**How will you make a difference?**
·Handle inbound phone calls, screen, and direct them to the appropriate departments, providing initial basic support to customers and suppliers
· Perform daily office walkthroughs to ensure organization and execute the end-of-day closing checklist (lights, equipment, doors)
· Quote office supplies and purchase pantry/cleaning materials, marketing services (booths, spaces at fairs, and events), and promotional materials and gifts (swag)
· Request quotes for building maintenance (AC, electrical, etc.) and oversee the execution of services by on-site third-party providers
· Organize and prepare meeting rooms for client and partner visits
· Manage physical inventory, control of promotional gifts, and marketing/event equipment
· Prepare items for events, projects, or Proof of Concepts (PoC)
· Ensure material outflows are updated in the internal system and properly documented
· Perform on-site visits to events to check booth assembly/setup
· Request the issuance of sales invoices from the responsible department as well as shipping, return, and tax-back invoices
· Perform basic data verification on issued invoices (Nota Fiscal)
· Send measurement reports (service logs) to clients
· Provide support to the overall billing process and assist in the active collection process for overdue accounts
· Assist in quoting domestic logistics (freight and carriers) ad international logistics (import and export)
· Prepare and pack materials for shipping via mail or carriers and monitor tracking of sent and received goods
· Register and update customer data in the ERP
· Support the sales team in opening opportunities within the system
· Clarify client doubts regarding billing and invoicing
· Control the schedule for occupational medical exams (ASO)
· Schedule mandatory work safety training/courses
· Perform occasional external tasks (post office, notary, or urgent purchases)
**Qualifications**
· Currently in the final year of a Business Administration degree or already graduated in the field
· At least 2 year of experience in administrative roles
· Must be located in or near São Paulo, Brazil with fluency in Portuguese
· Must already be eligible to legally work in Brazil
· Ability to be on feet for some parts of the day and lift objects up to 12kg (25 lbs) is needed
**Required Skills, Talents, & Experience**
· Intermediate proficiency in Microsoft Office (Excel, Word, Outlook, and PowerPoint), with the ability to adapt to a variety of other software tools
· The candidate must demonstrate key competencies such as initiative, organization, professionalism, reliability, cooperation, discretion, accuracy, and enthusiasm
· Demonstrated continuous improvement mindset with the initiative to implement solutions
· Proactive and proven excellence in operational support, acting with a high level of responsibility and integrity to ensure that administrative demands are met with quality and efficiency
**Preferred Skills, Talents, & Experience**
· Basic English will be considered a plus but is not necessary
**Additional Information**
**Base Pay**:
Based on experience and responsibilities.
**Target Annual Short-Term Incentive**:
Bonus Plan at 5% (% of Annualized Base Pay)
