Administrative Support Specialist - Hybrid #916 Clearance: Public Trust Required Location: Washington D.C./Hybrid Administrative Support Specialist - Hybrid #916 Position Summary The Administrative Support Specialist provides responsive administrative, executive, workforce, records, and general mission-support services across NTIA. The position helps coordinate meetings, correspondence, taskers, records, logistics, and routine operational workflows while maintaining professionalism, accuracy, confidentiality, and strong customer service. Primary Responsibilities Coordinate calendars, meetings, agendas, invitations, conference logistics, briefing materials, minutes, action items, and follow-up activities. Support executive taskers and correspondence by tracking assignments, deadlines, approvals, responses, and completion status. Prepare, format, proofread, route, and maintain reports, presentations, memoranda, spreadsheets, records, and other mission-support products. Maintain organized electronic files, records, trackers, distribution lists, and SharePoint content in accordance with Government procedures. Provide workforce and onboarding/offboarding coordination, equipment or access follow-up, contact-list maintenance, and other employee-support activities as assigned. Support administrative workflows involving travel, timekeeping, facilities, property, supplies, and operational requests using Government systems as authorized. Respond professionally to internal and external inquiries, coordinate across offices, and ensure timely delivery of accurate information. Assist with data calls, monthly status reporting, operational metrics, administrative SOPs, and process-improvement activities. Identify contractor status when required and safeguard Government equipment, records, and sensitive information. Provide flexible surge support for emerging priorities, workload fluctuations, and general mission operations. Minimum Requirements Associate's degree or higher in Business Administration, Office Administration, Communications, or a related field, or an equivalent combination of education and relevant experience. At least three years of progressively responsible administrative, executive-support, program-support, or mission-support experience. Proficiency with Microsoft 365, including Outlook, Word, Excel, PowerPoint, Teams, and SharePoint. Demonstrated experience coordinating meetings, maintaining records and trackers, preparing professional documents, and managing multiple deadlines. Excellent customer service, written and verbal communication, proofreading, organization, discretion, and attention to detail. Ability to work independently and collaboratively, adapt to rapidly changing priorities, and handle sensitive information appropriately. Ability to obtain and maintain the Public Trust designation or security clearance required for the assigned work. Desired Qualifications Experience supporting senior executives or operational teams in a federal agency or Government-contractor environment. Experience with ServiceNow, GovTA, E2, Sunflower, PRISM, or other Government administrative systems. Experience supporting records coordination, workforce processes, travel, timekeeping, facilities, property, or onboarding/offboarding. Experience developing SOPs, improving administrative workflows, or supporting dashboards and data calls. Experience supporting NTIA or another Department of Commerce bureau.
