Job Description
KEY RESPONSIBILITIES
1. Contract Lifecycle Administration
* Manage new and renewal contracts through their full administration lifecycle, ensuring records, approvals and signatures are complete and on time.
* Establish unique deal tracking IDs and register crucial contract milestones (including net-new negotiations, contracted renewals, consumption-based purchases and true-ups) to maintain an accurate contract repository.
* Maintain a repository of supplier and contract information, keeping metadata, key dates and obligations current and searchable.
* Track renewal and expiry dates and drive proactive renewal cycles so no contract lapses or auto-renews unintentionally.
2. Contract Review & Analysis
* Provide end-to-end support for software contract requests, covering both renewals and new software.
* Conduct contract review and analysis for software vendors, flagging risks, obligations and non-standard terms for decision.
* Assess End User License Agreements (EULAs) for security, legal and commercial risk, and route flagged items to Legal and category owners.
* Ensure reviewed contracts comply with the client's agreed criteria and escalate deviations through the correct governance path.
3. M&A Contract Integration
* Standardize, triage and map software portfolios acquired during Mergers & Acquisitions (M&A) using specialized trackers to automate integration task queues.
* Triage acquired vendor contracts, assessing obligations, overlaps and consolidation opportunities across the combined portfolio.
* Coordinate pre-close and post-close software contract decommissioning strategies, enforcing data-privacy guidelines and gathering legal data-deletion proof to avoid double-billing.
* Support consolidation and true-up activity so the combined entity transacts on clean, non-duplicated agreements.
4. VMO & Compliance Support
* Support the Vendor Management Office (VMO) with contract administration, renewals and repository governance.
* Review, validate and audit temporary workforce onboarding and extension requests, verifying manager hierarchies, confirming budget approvals and enforcing strict Length of Service (LoS) policies.
* Maintain audit-ready documentation of contract changes, approvals and compliance checks.
* Prepare contract data and materials for periodic supplier, category and governance reviews.
PERFORMANCE & SERVICE LEVELS
Indicative performance targets for the role; final service levels are confirmed on engagement and measured by location per service line.
* Contract Compliance: ensure 100% of reviewed supplier and software contracts comply with the client's agreed criteria (tracked as a KPI).
* Renewal Timeliness: complete contract renewals and milestone registrations ahead of expiry for ≥98% of in-scope agreements, with zero unintended lapses or auto-renewals.
* Repository Accuracy: maintain ≥99% accuracy across contract records, key dates and obligation metadata.
* Customer Satisfaction (CSAT): sustain a CSAT score of ≥95% (≥4.0–4.5 on a 5-point scale) across surveyed interactions, reflecting accuracy, responsiveness and professionalism on every request handled — measured monthly/quarterly per the cross-functional service levels.
* Ticket Quality: ensure ≥95–97% of completed requests pass quality-assurance checks, with complete and accurate documentation, correct categorization, and full adherence to the approved SOP for the request type.
* Aged Ticket Discipline: perform follow-up actions and update statuses on all open contract tickets every 3 days.
* Response Time: respond to ≥95–97% of tickets within the priority-based target window, routed to the correct owner first time, so no request waits on mis-assignment.
* Workforce Audit SLA: validate and process standard temporary worker and extension compliance reviews within 3 business days.
TOOLS & SYSTEMS
* Contract Repositories: enterprise Contract Lifecycle Management (CLM) databases and supplier-contract systems
* ERP & Procurement Systems: SAP (Procure-to-Pay and master-data consoles) alongside corporate guided buying platforms
* Workforce Management Platforms: specialized external workforce tracking applications (e.g., Fieldglass) and scheduling systems
* Ticketing & Collaboration Tools: advanced ITSM issue-tracking platforms and collaborative spreadsheet logs
REQUIRED SKILLS & EXPERIENCE
Mandatory
* 3–7+ years of experience in contract administration, contract lifecycle management, vendor management or procurement operations.
* Hands-on contract administration and repository/master-data management, with strong attention to contractual detail.
* Proven capability tracking contract milestones, renewals and true-ups, and maintaining an audit-ready contract repository.
* Sound commercial judgment and the ability to flag risks and obligations clearly for decision.
* Strong English communication and stakeholder management, including with external vendors and Legal.
Preferred
* Experience with CLM / VMO tooling and supplier-management systems.
* Exposure to software-contract and licensing arrangements, including EULA review for security/legal risk.
* M&A contract-review experience, including triaging acquired vendor contracts and coordinating legacy software terminations.
* Familiarity with contingent workforce onboarding procedures, Length of Service policies and vendor engagement compliance.
LEVELS & PROGRESSION (I – III)

* Level II — administers contracts, registers milestones and manages renewals under SOP, handling day-to-day contract coordination and workforce-compliance reviews.
* Level III — is the contract-management SME and line lead — owning M&A contract analysis, EULA/risk review, escalations and governance-review support.
