Role Purpose
The HR Administrator provides efficient, accurate administrative support throughout the employee lifecycle. The role ensures compliance with legal and internal requirements, maintains reliable HR data, and coordinates key processes such as onboarding, offboarding, subcontractor compliance, and ID06 administration. By acting as a central support function for employees, managers, payroll, and other stakeholders, the HR Administrator contributes to smooth daily operations and a positive employee experience.
Roles & Responsibilities
Onboarding & Offboarding Administration
Onboarding
• Prepare employment contracts, onboarding documents, and information packages.
• Create new hire profiles in HRIS, payroll, and access systems.
• Coordinate with IT to ensure timely setup of equipment and system access.
• Ensure all onboarding tasks, checklists, and compliance requirements are completed.
• Serve as the primary administrative contact for new employees.
Offboarding
• Process resignations and handle all required administrative steps.
• Prepare offboarding documents, including exit letters and certificates of employment when needed.
• Coordinate system access removal and equipment return with the site administrator.
• Schedule or conduct exit interviews.
• Update records and notify relevant departments of end dates.
ID06 Administration
• Manage the full process for ID06 cards, including verification of identity documents and eligibility.
• Submit applications, track production and delivery, and distribute cards.
• Deactivate ID06 cards for offboarded employees.
• Act as the main contact for ID06-related questions.
• Provide weekly reports on valid cards, expiring cards, and any documentation issues affecting new or extended cards.
Compliance Oversight of Subcontractors
• Review subcontractor compliance forms and ensure documents meet legal and company requirements.
• Approve or reject submissions based on validity and completeness.
• Request corrections or additional documents when needed.
• Maintain an up-to-date compliance register.
• Escalate non‑compliant subcontractors to the manager or relevant stakeholders.
Work Placement & Job Fairs
• Act as the first contact for student work placement inquiries.
• Coordinate communication between students, site administrators, and managers.
• Maintain an overview of ongoing and upcoming placements to ensure smooth coordination.
• Support logistics, materials, and representation for university job fairs.
Additional Tasks & Cross-Functional Support
• Carry out administrative or analytical tasks requested by HR Leadership or other stakeholders.
• Provide HR data and reports to support decision‑making.
• Coordinate with other departments to gather accurate information.
• Complete all tasks with accuracy, confidentiality, and timeliness.
• Support new HR initiatives, projects, or temporary assignments as business needs evolve.
