Job Description
**ABOUT THIS ROLE**
Core contributor in Early Careers Talent Administration. Owns end-to-end logistics and coordination for early talent programs — interns, co-ops, and rotational participants — exercising judgment on day-to-day decisions while partnering with the Program Lead, recruiters, and business stakeholders to deliver a high-quality, consistent, and scalable program experience.
**YOUR DAY IN THE LIFE**
Wilson is seeking a motivated, highly organized Early Careers Talent Administrator & Coordinator to join our collaborative, dynamic, and forward-thinking team. As our client scales its early talent programs as a critical pipeline for future talent, this role is essential to delivering a high-quality, consistent, and scalable program experience — supporting logistics, execution, and participant engagement. Does this sound like you? The Early Careers Talent Administrator & Coordinator partners directly with the Program Lead and serves as the primary on-the-ground resource during peak programming periods, acting as the face of the program and ensuring a polished, high-touch experience for every participant. This is a client-facing role with some on-site travel possible.
**YOU WILL:**
* Own end-to-end program logistics, including scheduling, room booking, catering, AV, and calendars
* Coordinate and execute on-site programming such as orientation, L&D sessions, and events
* Serve as the primary point of contact for interns, co-ops, and program participants
* Act as the face of the program, ensuring a polished, high-touch experience
* Maintain trackers, communications, and program documentation
* Partner with the Program Lead, Talent Acquisition, HRBPs, and business stakeholders
* Troubleshoot issues in real time and ensure seamless execution across all touchpoints
* Support scheduling for flagship early talent programs using GoodTime, coordinating high-volume interview days, program sessions, and stakeholder availability
* Ensure accuracy, efficiency, and a seamless scheduling experience for candidates and internal partners
* Partner with recruiters and program leads to optimize scheduling workflows and capacity
**REQUIREMENTS**
* 2-5 years in program coordination, events, recruiting operations, or a similar function
* Strong organizational and execution skills with high attention to detail
* Experience managing complex scheduling and logistics
* Confident, professional communicator with client-facing experience
* Proven ability to support large, dynamic populations such as students and cohorts
* Ability to manage multiple priorities in a fast-paced environment, staying calm under pressure with strong real-time problem-solving ability
* High energy with a strong customer-service mindset; thrives working with intern and early career populations and serves as a polished brand ambassador
* On-site availability required during peak programming periods, such as summer intern and co-op season and major events; hybrid and off-peak flexibility can be considered outside peak cycles
* Experience with GoodTime or similar scheduling platforms (preferred)
* Experience with early talent, campus, or L&D programs (preferred)
* Corporate or cross-functional stakeholder exposure, with familiarity with event coordination tools and program tracking systems (preferred)
